The Appointment and Tenure Policy is established to standardize the process, validity, format, tenure, and expiry of all appointments within IJBMRS.
This policy exists to eliminate ambiguity related to appointment letters, effective dates, tenure duration, renewal expectations, and the legal standing of appointment communications.
2.1 All appointments within IJBMRS originate solely from the Office of the Chairperson.
2.2 A communication shall be treated as a valid appointment only if it is issued from one of the following official email addresses:
chairperson@ijbmrs.org
office.chairperson@ijbmrs.org
2.3 Appointments issued through any other email address, platform, or verbal communication are invalid and non-binding.
3.1 Every appointment communication must include:
full name of the appointee;
exact role title;
date of issuance;
effective date of appointment;
tenure duration;
expiry date or review date;
reference to applicable IJBMRS policies.
3.2 The date of issuance stated in the appointment email shall be the sole authoritative reference point for:
commencement of tenure;
calculation of expiry;
validity of designation.
4.1 Appointment communications may be issued:
via official email; and/or
as a digitally issued appointment letter on IJBMRS letterhead.
4.2 A letterhead document is supportive in nature and does not supersede the appointment email.
4.3 In case of discrepancy, the appointment email shall prevail.
All appointments under IJBMRS are time-bound unless explicitly stated otherwise.
The standard tenure for the following roles is defined as:
Editor-in-Chief (EIC): six (6) months
Deputy Editor-in-Chief (DEIC): six (6) months
Chief Operating Officer (COO): six (6) months
Regional Secretary: three (3) months
Tenure commences strictly from the appointment issuance date.
Membership of the Committee on Publication Ethics – IJBMRS (COPE-IJBMRS) does not carry a fixed expiry date.
Such appointments continue until reviewed, reconstituted, or discontinued by the Office of the Chairperson.
6.1 Expiry of tenure occurs automatically upon completion of the stated term.
6.2 No appointment shall be deemed renewed unless:
a fresh appointment or renewal communication is issued by the Office of the Chairperson; and
the renewal specifies a new effective period.
6.3 Continuation of work, email access, or public representation does not imply renewal.
7.1 Upon expiry of tenure:
the designation lapses automatically;
all representational rights cease;
email and digital access are subject to withdrawal under EIDAP.
7.2 Use of designation after expiry constitutes unauthorized representation.
8.1 This policy operates in conjunction with:
Role Acceptance and Activation Policy;
Voluntary and Honorary Roles Policy;
Official Representation and Public Claims Policy;
Email Identity and Digital Access Policy;
Regional Secretary Policy 2026.
8.2 In case of conflict, the IJBMRS Charter shall prevail.
9.1 Interpretation of this policy rests exclusively with the Office of the Chairperson, IJBMRS.
9.2 This policy is binding on all current and future appointees.
9.3 This policy forms an integral addendum to the IJBMRS Charter.
