The Official Representation AND Public Claims Policy (ORPC) is established to regulate how individuals associated with IJBMRS may publicly represent their roles, titles, affiliations, and institutional association.
This policy exists to prevent misrepresentation, role inflation, ambiguity, reputational risk, and unauthorized public claims related to IJBMRS.
2.1 This policy applies to all non-editorial roles, including but not limited to:
Regional Secretaries
Research Secretaries
Coordinators
Representatives
Advisors (non-executive)
2.2 The policy applies across all public and semi-public platforms, including:
LinkedIn and other professional networks
Personal or institutional websites
CVs, bios, resumes, and profiles
Conference brochures and event materials
Email signatures
Press statements, interviews, or announcements
3.1 No individual may publicly represent any association with IJBMRS unless:
The role has been formally activated under the Role Acceptance AND Activation Policy (RAP); and
The representation strictly follows the wording approved by IJBMRS.
3.2 Creative, implied, expanded, or interpretive representations are strictly prohibited.
4.1 Only the exact designation issued by IJBMRS may be used.
4.2 The approved format shall be:
[Role Title] – [Region or Function], IJBMRS
Examples:
Regional Secretary – South America, IJBMRS
Research Secretary – Asia-Pacific, IJBMRS
4.3 The following are not permitted:
Prefixes such as “Senior”, “Chief”, “Head”, “Lead”, or equivalents;
Expanded descriptions implying authority or permanence;
Combined titles or dual-role claims unless formally issued.
The following claims are strictly prohibited:
Claiming executive, policy-making, or decision-making authority;
Suggesting editorial, ISSN, DOI, indexing, or publication control;
Claiming employment, contractual, or permanent association;
Using phrases such as “on behalf of IJBMRS” without authorization;
Representing IJBMRS in legal, financial, or institutional negotiations.
6.1 Public representation is permitted only during the active term of appointment.
6.2 Upon:
expiry of term;
suspension;
non-renewal; or
discontinuation,
all public references must be removed within 48 hours.
6.3 Continued public representation after cessation constitutes unauthorized affiliation.
7.1 IJBMRS reserves the right to:
Monitor public platforms for compliance;
Request correction or removal of non-compliant representations;
Document violations for institutional record.
7.2 Requests issued by the IJBMRS Research Secretariat are binding and time-sensitive.
8.1 Violations of this policy may result in:
Formal warning;
Immediate suspension or discontinuation of role;
Ineligibility for future appointments;
Documentation of misrepresentation in IJBMRS records.
8.2 Repeated or willful violations may attract stricter institutional sanctions.
9.1 The IJBMRS Research Secretariat is the sole authority for:
Approving representation formats;
Issuing correction or removal directives;
Maintaining compliance records.
9.2 The Editorial Office holds no supervisory or enforcement role under this policy.
10.1 Interpretation of this policy rests exclusively with the Office of the Chairperson, IJBMRS.
10.2 This policy is binding on all current and future appointees.
10.3 This policy operates in conjunction with the IJBMRS Charter, RAP, and relevant Addenda. In case of conflict, the Charter shall prevail.
